Many nonprofit organizations are exempt from federal income tax. Although they don’t have to pay federal income tax themselves, they must still withhold federal income tax from the pay of their employees. However, there are special social security, Medicare, and FUTA tax rules that apply to the wages that they pay their employees. Issuing employee loans can affect your taxes as a small business owner. For example, you may incur some extra taxes if you distribute a loan incorrectly. You can avoid this by keeping detailed financial records and by regularly checking the Applicable Federal Rate (AFR).

Employee loans are temporary funds awarded the differences between debit & credit in accounting to an employee by their employer to help them pay for personal expenses, such as medical bills or school tuition payments, or get them through a financial rough patch. Like personal loans, the employee is expected to repay this loan with interest over time.

This is transportation to or from work using any motorized wheeled vehicle (including an automobile) manufactured for use on public streets, roads, and highways. You or the employee must buy the transportation from a party that isn’t related to you. If the employee buys it, you must reimburse the employee for its cost (for example, cab fare) under a bona fide reimbursement arrangement. If an automobile is unavailable to the employee because of the employee’s personal reasons (for example, if the employee is on vacation), you can’t take into account the periods of unavailability when you use a prorated annual lease value.

  • This exclusion also applies to a cash payment you provide for an employee’s expenses for a specific or prearranged business activity if such expenses would otherwise be allowable as a business expense or depreciation expense deduction to the employee.
  • However, an employee who is a member of a qualified religious sect can apply for an exemption from the self-employment tax by filing Form 4029.

The cents-per-mile rate includes the value of maintenance and insurance for the vehicle. Don’t reduce the rate by the value of any service included in the rate that you didn’t provide. You can take into account the services actually provided for the vehicle by using the General Valuation Rule, earlier.

You must still withhold federal income tax on taxable compensation from railroad employees exercising their options. QSEHRAs allow eligible small employers to pay or reimburse medical care expenses, including health insurance premiums, of eligible employees and their family members. A QSEHRA isn’t a group health plan, and, therefore, isn’t subject to group health plan requirements. In most cases, the excluded benefits aren’t subject to federal income tax withholding, social security, Medicare, federal unemployment (FUTA) tax, or Railroad Retirement Tax Act (RRTA) taxes and aren’t reported on Form W-2. You may be hit with some extra taxes if you improperly issue a loan. To avoid this, make sure you offer clearly detailed loan terms and keep track of the Applicable Federal Rate (AFR), a rate which is used when friends, relatives or other private parties lend money and published monthly by the IRS.

You don’t have to include the value of a telephone or any specialized equipment added to, or carried in, the automobile if the equipment is necessary for your business. However, include the value of specialized equipment if the employee to whom the automobile is available uses the specialized equipment in a trade or business other than yours. You can refigure the annual lease value on November 1, 2026, rather than on January 1, 2027.
